Integration
Weighsoft does not stop at the bridge. Weighing data flows into your accounting, ERP, stock and reporting systems through Xero, custom APIs, and connectors we build for you.
Weighsoft can connect to Xero. A closed weighbridge docket becomes a draft invoice in your books — no retyping. You approve and send it in Xero.
A completed weigh-out locks the transaction — gross, tare, net, customer and product, exactly as captured on the bridge.
Weighsoft creates a draft invoice on the Xero contact — matched by name, or created if it is new — waiting for your approval in Xero.
The invoice carries the docket reference, so each invoiced ton traces back to the weigh-out. Photos and the audit trail stay in Weighsoft.
The Xero connection is set up for you — not on this website. Until it is live on your site, CSV and Excel exports are formatted for a clean import into your accounting system.

Xero is one connection of many. If your systems need weighing data, we get it there.
Weighsoft exposes custom APIs so your own systems can send and receive weighing data. REST endpoints and webhooks connect your ERP, stock control, reporting and third-party software to the bridge.

How Weighsoft handles your data.

This Privacy Policy explains how Weighsoft (“we”, “us”) handles personal information. It is written for the Protection of Personal Information Act 4 of 2013 (POPIA) and, where it applies, the Electronic Communications and Transactions Act.
It covers this website, licence activation, support, and how we treat data in the Software. It does not replace your own privacy notice to drivers and staff at your yard.
Weighsoft is responsible for personal information we collect ourselves — for example website forms, activation, and support.

For personal information you collect in Weighsoft at your site (dockets, plates, photos, operator logs), you are the responsible party. We only process that data as needed to provide the Software, activation, hosting or support you have asked for, or as the law requires.

When you activate a licence:
We do not ask the website for ID numbers, bank cards, or health information. Please do not put those in a public form. If a support file accidentally contains extra personal information, we will handle it as support data and you may ask us to delete it.
The hosting environment may log standard technical data (IP address, browser type, pages requested, date and time) to keep the site running and to investigate abuse. We do not sell this.
If we later add analytics or advertising cookies, we will update this policy and, where required, ask for consent.
We process personal information only for a lawful purpose. We reply to demos, quotes and questions because you asked us to, or to take steps before a contract. We provide, activate and renew the Software under our contract with you, and we check that you are a customer and whether the account is overdue on that same basis — we also have a legitimate interest in not licensing unpaid accounts. Support, including files you send, is handled under the contract or at your request, and the same goes for service messages such as licence expiry, an outage or a change to this policy. Keeping accounts, VAT and similar records is a legal obligation. Protecting the website and activation service from abuse, and improving the product from aggregated, non-identifying feedback, are both legitimate interests.
We do not sell or rent personal information. We do not use website leads for unrelated third-party marketing. If we ever send marketing email beyond a conversation you started, we will give you a way to opt out.
We do not do automated decision-making that legally denies you a service without a human review, except that activation is refused automatically if the email is unknown or the account is marked overdue. You can contact us to correct the record or settle the account.
To issue a key we check the email you enter against our customer records. Those records may be held in our Xero organisation (contacts and invoice status).
Typical yard data includes vehicle registration numbers, haulier or customer names, product, weights, timestamps, operator identity, photos and (where enabled) ANPR images.
Cameras, ANPR and photos: you must display suitable notices at the site and comply with POPIA (and any other camera laws that apply). Weighsoft supplying the feature does not make us the responsible party for your cameras.
We share personal information only when needed. Our own staff and authorised contractors see it for sales, onboarding, support and accounts. Email and form providers see what is needed to deliver a ticket or attachment to system@weighsoft.co.za. WhatsApp and Meta are involved only if you choose to chat on WhatsApp. Hosting and infrastructure providers run the website and the activation service. Xero Limited holds our own bookkeeping and customer/invoice records — that is our Xero, not yours, unless you later connect Weighsoft to your Xero inside the Software. Professional advisers — lawyers, accountants, auditors — see what they need under confidentiality. Authorities see information if the law requires it.
Google Maps may load when you view the Get in Touch map. Google then processes what a normal maps embed processes (which can include IP address). The address link opens Google Maps.
Any operator we use must treat the information as confidential and only use it for the job we gave them.
Some operators are outside South Africa (for example form delivery, WhatsApp, Xero, or cloud hosting). Where we transfer personal information outside the Republic, we will do so in line with POPIA — including using operators who apply similar protection, or with your consent, or as the law allows.
We keep demo and contact messages for up to 24 months after we last hear from you, unless you become a customer. Support tickets and attachments stay for up to 36 months after the ticket closes, or longer while a dispute is open. Customer, invoice and tax records are kept at least 5 years, as tax and company law require. Licence and activation records last for the life of the customer relationship and then up to 5 years. Website server logs are kept for as short a time as the host allows for security, typically under 12 months.
You may ask us to delete information we do not need to keep. We will say if a law requires us to retain it.
When a licence ends, we do not keep a copy of your full yard database unless you have a hosted arrangement that says we do, or you sent us files for support.
We use reasonable technical and organisational measures: access control, least-privilege staff access, HTTPS on the live site, and confidential handling of licence keys.
No method of transmission or storage is perfectly secure. You must also protect operator logins, the device that holds the Software, and files you email or send on WhatsApp.
If we become aware of a security compromise that affects your personal information, we will notify you and the Information Regulator as POPIA requires.
This site is built to work without advertising cookies. It may use strictly necessary cookies or local storage to run the page (for example to keep a form or session working). We do not currently use the website for advertising profiles.
Browser storage on your machine (including WhatsApp Web staying signed in) is controlled by those products, not by us.
You may ask us to:
Send requests to system@weighsoft.co.za with enough detail for us to find you (name, company, email used). We may need to verify it is you. We will respond within a reasonable time, and within any period POPIA requires.
We may refuse a request only on grounds POPIA allows (for example, it would unreasonably affect another person, or we must keep the record).

The website and Software are for business customers. We do not knowingly collect personal information from children under 18. If you believe we have, contact us and we will delete it.
If you use WhatsApp, Xero, Google Maps, or your own email, those providers’ privacy policies apply to what you send them. Read theirs as well as ours.
We may update this Privacy Policy. The new version applies from the date we publish it (or a later date we state). The effective date will always be at the top. For material changes we will use reasonable efforts to notify customers on file.

The agreement between Weighsoft and its customers.

These Terms & Conditions (“Terms”) are the agreement between you and Weighsoft (“we”, “us”).
They cover this website and any related Weighsoft web pages (the “Website”); Weighsoft software and related modules, including Lite, Enterprise, Mobile, Auction and ESP32 hardware integration (the “Software”); and licence keys, activation, support, and any demo, quote or training we provide.
By using the Website, requesting a demo, activating a licence, or using the Software, you agree to these Terms. If you are acting for a company or site, you confirm you are authorised to bind that organisation. If you do not agree, do not use the Website or the Software.

Weighsoft is independent weighing software. We are not a scale manufacturer and we do not lock you to one brand of hardware.
These Terms apply to website visitors (reading, downloading resources, sending a message); customers who buy, licence or use the Software; and operators and staff who use the Software on a customer site.
The customer (the company or person who holds the licence) is responsible for everyone who uses their installation. The Software is sold for business use on weighbridges, yards, auctions and related sites. It is not a consumer product for personal household use.
Links to third-party sites (including Xero, Google Maps and WhatsApp) are for convenience. We do not control those sites.
Weighsoft helps a site capture weigh-ins and weigh-outs, print dockets, keep an audit trail, work offline, and hand numbers to the rest of the business (exports, and integrations where enabled).

What you get is what is listed on your quote, order, invoice or licence confirmation. Features on the Website that are marked as roadmap, “in development”, or “coming” are not included until we confirm them in writing.
Weighsoft is hardware-agnostic: it reads the output of indicators and devices you already own, where we have confirmed compatibility. We do not promise that every indicator, printer, camera, boom or light will work without testing.
If you have a valid, paid-up licence, we grant you a limited, non-exclusive, non-transferable right to install and use the Software at the site(s) and on the device(s) named in your order, for your internal business operations, for the licence period.
You do not buy the Software. You licence it. We (and our licensors) keep all intellectual property.
Unless your order says otherwise, a licence key is valid for 12 months from the date we issue it. Continued use after that needs a renewed licence.
To activate, you must enter the email address we have on your customer record, and the hardware / device code shown in the Software (Help → About, or the equivalent we specify).
We may refuse activation if the email is not on our customer records; the account is overdue; the device or site is not covered by your licence; or we reasonably suspect abuse, fraud or a leaked key.
Activation checks are performed by our systems. We generate the licence key. You must keep the key confidential and use it only on authorised devices.
You may not (and may not allow anyone else to):
We may issue updates, patches or new versions. Some updates may be required for support or for a renewed key to work. We are not obliged to keep old versions running forever.

You are responsible for decisions you make from weights, dockets, reports or exports. Weighsoft records what the indicator and your operators enter. It does not replace a competent operator or a certified instrument.
The weighing instrument (bridge, load cells, indicator and any stamping or verification) is separate from Weighsoft.
If we help commission a site, that help does not transfer legal metrology responsibility to us unless a separate written agreement says so.
Data captured in your Weighsoft installation — including vehicle registrations, partner names, products, weights, photos, operator actions and exports — is your business data.
You must not use the Software to collect information you have no lawful basis to collect. See the Privacy Policy for how we handle personal information we collect ourselves.
Support is available through email (system@weighsoft.co.za), WhatsApp or phone (079 337 4035), and the support / ticket forms on the Website.
We will use reasonable efforts to help. We do not guarantee a fix time unless a separate service-level agreement says so.
If you send screenshots, dockets or other files, you confirm you are allowed to send them. On a live (http/https) site, attachments may be delivered via our email or form provider. Opening a local HTML file cannot attach files to email — that is a browser limit, not a Weighsoft feature.
WhatsApp is provided by Meta. If you choose WhatsApp, their terms and privacy rules also apply. You still send the message yourself.
You may not:
We may block access, revoke a key, or refuse support if you breach this section.
Weighsoft names, logos, Software, Website design, manuals and documentation are our property or that of our licensors. You may not use the Weighsoft name or logo in a way that suggests you are us, or that we endorse you, without written permission.
Feedback you send us (ideas, bug reports, suggestions) may be used by us without payment to you.
Each party must keep the other’s confidential information secret and use it only to perform this agreement. This does not apply to information that is public, already known, independently developed, or that the law requires to be disclosed. Licence keys, pricing, and non-public product documentation are confidential.
We warrant that we have the right to licence the Software to you, and that we will provide it with reasonable care and skill.
Otherwise, the Software and Website are provided as-is. We do not warrant that they will be error-free, uninterrupted, or fit for a particular commercial result (including a specific throughput, a specific saving, or a specific accounting outcome). Demo environments, concept pages and sample data are for illustration.
To the maximum extent allowed by South African law:
Nothing in these Terms limits liability for gross negligence, wilful misconduct, or fraud, or any liability that the law does not allow us to limit. You should keep insurance appropriate to a weighbridge or yard operation.
You indemnify us against claims, losses and costs arising from your use of the Software or Website in breach of these Terms; personal information you collect at your site (including cameras, ANPR and dockets); weights, tickets or invoices you issue to your customers; and your hardware or a third-party system you connect.
We may suspend or end a licence immediately if you do not pay, you materially breach these Terms, or the law requires us to stop.
You may stop using the Software at the end of a paid period. Prepaid fees are not refundable unless we agree in writing or the law requires a refund.
When a licence ends you must stop using the Software and destroy copies of licence keys. You keep your own exported data. We are not obliged to keep hosting or supporting an ended site unless a law or a separate agreement requires it.
Clauses that should survive (including intellectual property, confidentiality, liability, indemnity and governing law) stay in force.
We may update these Terms. The new version applies from the date we publish it on the Website, or from a later date we state. For material changes that affect paying customers, we will use reasonable efforts to notify the contact on your account (usually by email). Continued use after the effective date is acceptance of the new Terms. If you do not agree, stop using the Software and contact us before renewal.
